There are 4 default (and 1 optional) settings to be configured for the Better Sharing plugin.
1. Email Branding
The website or company name to be used as a suffix on the sender's name in the email (i.e. John via Company Name).
Recommendations
Displaying the company/brand name can increase the likelihood that recipients will open your email by:
- establishing trust that the email is coming from a legitimate sender,
- encouraging brand recognition, and
- providing consistency to reinforce recognition
- Keep the email branding to 20 characters or less to avoid being truncated by email clients
- Use first name at/from/via Company to both limit characters and make the communication more personal (i.e. John at Company Name)
2. Email Reply To Settings
3 options of how the Reply to is displayed:
- allow Better Sharing to optimize the Reply To display,
- disallow a Reply To address from being displayed, or
- specify a Reply To address to be displayed
Recommendations
- Display a Reply To address either optimized by Better Sharing which will insert the logged in user's name (if available), or using an address specifically set up for receiving replies, if different from the initial sender.
- Do not hide the reply-to address if at all possible. Not only does this frustrate the recipient if they need to get in contact, but it also gives the impression that the sender doesn't care about the recipient.
- Do not use a "no-reply" address. A "no-reply" address can also hurt the reputation of the sending email account result in emails flagged as spam or bots.
3. Rate Limiting
Enable rate limiting to prevent too many emails from being sent at once. Set the maximum number to be sent.
Recommendations
- Recommended default value is 10
- Why set a rate limit?
- To control and limit spam such as sending too many emails to invalid addresses (i.e. mispellings, etc.) which could negatively impact the account's reputation
- To protect infrastructure from hackers who might spam an open API endpoint
- Fair use to permit others to send emails without significant backlogs
4. Spam Detection in Custom Messages
3 settings to control spam from being sent:
- Enable spam detection to prevent users from sending forbidden custom messages.
- Set a RegEx value (can leave the default provided)
- Hide the display of an error message, if rejected for spam (recommended)
Recommendations
- Protect site reputation and resources by enabling the automatic detection and rejection of commonly structured spam messages
- Protect recipients by use a regular expression (RegEx) to exclude repeating or manipulating text strings found in spam and/or malicious emails. The default value [.?](?=[^\s]) can be used or enter a preferred RegEx value.
- Harden site security by hiding the display of error messages on rejected spam messages.
